How to Audit Your Business Workflows for AI Readiness (Free Checklist)
Most companies fail at AI because they try to automate everything at once. They buy Copilot for everyone, spend $50k, and see zero productivity gain.
Successful AI adoption starts with a Workflow Audit. You need to find the "bottle-necks" where AI can actually perform the work.
Step 1: The "Role Activity" Map
Pick one role (e.g., "Account Executive"). Map out their day in 30-minute blocks.
- 9:00 - 9:30: Check emails.
- 9:30 - 10:00: Update Salesforce.
- 10:00 - 11:00: Client Call.
Step 2: The "Cognitive Load" Test
For each task, ask: "Is this Deterministic or Creative?"
- Deterministic: "Copy data from Email to Salesforce." (High Repetition, Low Creativity). -> TARGET FOR AI.
- Creative: "Negotiate pricing strategy with client." (Low Repetition, High Creativity). -> KEEP HUMAN.
Step 3: The "Data Fidelity" Check
You found a target task. Now check the data.
- Is the input digital? (e.g., an Email).
- Is the output structured? (e.g., a Database Row).
- If the input is a "phone call" that isn't recorded, you can't automate it until you add a transcription layer.
The Checklist: Is this Workflow Ready?
- Volume: Does this happen >10 times a week?
- Trigger: Is there a clear digital trigger (e.g., "New Email Arrived")?
- Knowledge: Does the AI have access to the rules (e.g., "Pricing PDF")?
- Risk: If the AI makes a mistake, is it fatal? (If yes, keep a Human in the Loop).
